City of Alton City Council met March 13.

Here is the minutes provided by the council:

Members Present: Martha Roberts, David Drillinger, Julie McPike, Sydney Reynolds, Michaela Davis

Members Absent: Debbie Kelley, Aaron Schindewolf

Approval Items

a. Minutes

i. Martha Roberts called the meeting of the Alton Municipal Band to order at 6:40pm on Wednesday, March 13, 2019 in the Conference Room 112 in the Olin Science Building at Lewis and Clark Community College.

ii. David Drillinger provided two corrections to the previous meetings minutes. Phone number of the muny band should be 618-208-0515 and the meeting on March 13th, 2019 will begin at 6:30pm, not 5:00pm.

iii. After the corrections were made, David Drillinger made a motion, Julie McPike seconded, to approve the minutes of the Alton Municipal Band meeting of February 14, 2019. Motion carried. 5 Yea, 0 Nay

b. Financial 

c. Bills/Bids

i. Julie McPike, for Debbie Kelley, said we have one bill to pay for the banner for $50 to Schwartzkopf Printing. Julie McPike made a motion, Martha Roberts seconded, to approve the Financial Report. 4 Yea, 0 Nay

ii. Discussion occurred about shirt fees being taken out of payroll rather than receiving payment from the musicians as the shirts are ordered. Concern is raised about whether or not this can happen. Julie McPike will do some research on this and whether or not it’s possible.

iii. Shirts will be ordered in case new members need them or a sub needs to borrow. Julie McPike is in charge of this.

d. Personnel

i. William Schmalbeck will not be able to play this summer; he will need to stay at school. He mentioned being interested in soloing. David Drillinger will decide this.

ii. Martha Roberts will contact probationary members about re-auditioning.

e. Gifts

i. Nothing to discuss.

Information Items

a. Announcements

i. Martha Roberts announced stepping down from the board.

ii. Minutes need to be emailed to city after the meeting. Michaela Davis will be in

charge of this.

b. Presentations

i. Julie McPike is working on getting what is out on the website accurate. Need to change the phone number to the 618-208-0515; Aaron Schindewolf is in charge of answering this phone.

c. Funding

i. Nothing to discuss.

Discussion Items

a. Equipment Inventory/Updates

i. Nothing to discuss. b. Music Inventory

i. Music is up to date. New music has not been received yet.

c. Band Manager/Applications

i. A manager who is not a performer in the band could be in charge of taking current photos of the band to be used on flyers/business cards/etc. d. Music Programming/Flyer

i. David Drillinger and Jen Shenberger are still working on clarifying who is conducting what weeks. Jen will either conduct weeks 1, 2, 8, and 9 or weeks 1, 3, 8 and 9 and David will conduct the others. Waiting on confirmation of available soloists.

e. Personnel Staffing

i. Lewis and Clark Graduation Date is May 15. David Drillinger will be conducting. No fewer than 14 musicians, no more than 20. David Drillinger will reach out.

ii. Grand finale concert is on August 8. Follow up will be required to ensure they have the rehearsal and performance on the calendar.

iii. Will need to send out band manager position out in an email only consisting of the job posting. Job Posting and Band Manager responsibilities will be updated, emailed to the board to approve, and then posted on the band webpage.

iv. Martha Roberts motioned to approve Debbie Kelley as interim band manager until the position is filled. Julie McPike seconded. Motion carried. 5 Yea, 0 Nay

f. Uniforms

i. Nothing new to discuss. g. Website/Social Media

i. Nothing new to discuss. h. Marketing/Public Relations

i. Interest in using magnets as a marketing tool. There were no comments from the public.

Next Meeting

The next board meeting will be on Wednesday, April 10 at 6:30pm in the Olin Science Building on the Lewis and Clark College Campus.

David Drillinger motioned, Sydney Reynolds seconded, to adjourn the meeting at 7:51pm. Motion carried. 5 Yea, 0 Nay.
