City of Edwardsville Campus to Community Committee met July 11.

Here are the minutes provided by the committee:

Call to Order: 5:07 p.m.

Present: Chairman Chad Verbais, Kelly Obernuefemann, Joel Hardman, Liz Delaney, Mackenzie Richards and Paul Pitts

Also Present: Desiree Gerber and Jane Ahasay

Absent: Karen Kaufman, Lori Huntley, Earleen Patterson and Lauren Harris

Citizens wishing to address the Group: Jane Ahasay stated that she wanted to learn more about the Campus to Community Committee, so was going to listen.

Review May Minutes: Joel Hardman made a motion to approve the May minutes and Liz Delaney seconded the motion. All were in favor of approving the minutes.

Financial Report: Chad reported that there is still $11,800.00 in the budget. He should receive the invoice for the postcard

Edwardsville Art Fair Banner Contest: The banner contest concluded on July 1 and Carolyn Tidball from the Edwardsville Arts Center sent Chad an email regarding the winners as follows: K-2 had 4 winners, grades 3-5 had 4 winners, grades 6-8 had 3 winners, high school had 1 winner, college had 1 winner and the adult category had 3 winners. There were thirty-seven total entries with 16 winners.

Sherrie is waiting on the hard copies from the EAC to scan for the banners. Last year there was a reception at the EAC, but their student gallery is out of commission at the moment. EAC is looking for a new location. Carolyn thought the reception could take place at a satellite location. Desiree let the committee know that the City Hall is a satellite location.

Wildey promotion: The Wildey promotion is still happening on Tuesday nights, SIUE and LCCC students can see a movie for $2.

SIUE/City postcard mailing: The postcards will go out to all incoming freshman later this week. CCC will pay for the art and design not to exceed $850. If the cost is more, then SIUE will cover the remaining costs. Chad will get the invoice to Desiree for processing once he receives it.

New Student Orientation at SIUE: The new student orientation has been going well. There have been thirteen dates so far with two remaining on July 20 and 21 from 11:45 a.m. to 1:05 p.m. Joel helped Chad out with one of the dates, and Paul volunteered to be at one of the remaining July dates. There will be a preview day on Monday, July 24, from 9 a.m. to noon. Chad will need help with the preview day.

Future Plans: The New faculty meet and greet has not been done for several years. There has not been many new hires at SIUE or LCCC. There did not seem like there was much interest in hosting this event. Joel thought he could check if a committee member could speak and inform the new faculty during their orientation for about 10 minutes. Joel is going to explore this as an option.

Chad is torn as to whether to continue the Hashbrown Huddle or doing a different type of event. There was discussion as to what this would look like. Mackenzie liked the event and had feedback from other students that it is a positive networking activity. She thought including the leaders from the big fifteen along with student government leaders would allow more students to be involved and network. There was discussion about making the time later and making the table discussion more open ended without a specific topic at each table. Everyone needs to come to the next meeting with a name for this later morning networking event. October 20 or 27 could be a possible option for the event.

After discussion, Liz thought she would schedule an early big fifteen lunch and invite Grace Pellock to speak about events in the City. Liz tentatively is shooting for September 8, and Desiree will reach out to Grace to determine if that will work in her schedule.

The possible date discussed last month for the Wheels & Walk Festival was Thursday, September 14. Chad asked if someone would head up the Wheels & Walk Festival as a subcommittee. There were no volunteers. Chad will email James asking if he can reach out to businesses to determine if they are on board for the Wheels & Walk Festival on September 14. Kelly will check with Nelson to see if it is still available and if the radio station is available.

Chad met with Lauren B., who is the new liaison for Dr. Minor, and would like to become involved. Kelly will not be able to attend the August meeting, but the manager of the Nelson Complex will likely attend the meeting. Jessica Harris, Vice Chancellor for Equity, Diversity and Inclusion, emailed Chad, and would like to attend the September meeting to speak at the beginning of the meeting. Chad does not know what she will speak about.

Other Business 

The University reached out to Chad to find out if the CCC would still like to be involved in the Sweet Treat Social on August 18 from 4-5:30 p.m. There was discussion on what businesses to ask for discounted or no cost items. The Cup, Revitalize, Alibi Cookies, Prairie Farms and Maholo Shave Ice Company were discussed. Prairie Farms donated ice cream last year, so Chad will ask for their donation. Liz made a motion to spend no more than $1,000 on shaved ice from Mahalo Shave Ice Company for the Sweet Treat Social event. Mackenzie seconded the motion. Kelly abstained and the remainder of the members were in favor. Chad will contact Maholo Shave Ice Company, who we used last year.

New ideas for Community Traditions, Bring Campus into the Edwardsville Community Ideas, and Bring Edwardsville Community to Campus Ideas: Kelly suggested an event at the end of the school year for top area high school students and do a meet and greet to get them to stay local for their higher education. Mackenzie stated that students already know where they want to attend school by the end of their senior year, and Liz thought it made more sense to do it at the end of the junior year. Chad thought it would be great but opened up to other students not just the top students. Kelly will explore this idea further with SIUE and LCCC.

Chad brought up having a big type of event like a glow party and run and working on getting grant money for the event that we can work with a nonprofit group to co-sponsor. The running community could be a way to get involvement.

Liz reported that Cougars in the Community will take place on August 19. Welcome service event that will reach out to area organization asking for their volunteer needs. This year approximately forty students will be involved with set up for the Criterium by hanging banners and rails.

Rotary Student of the Month: Liz reported that the first selection will take place in September, so she will report on the rotary student on the month in October.

Next meeting: The next meeting will be held on Tuesday, August 15, 2023 at 5 p.m. in the Governor Edwards Conference Room at City Hall.

Adjournment: Joel Hardman made a motion to adjourn, Liz Delany seconded the motion and all were in favor. The meeting adjourned at 6:31 p.m.
