City of Alton Amphitheater Commission met June 16.

Here is the minutes provided by the commission:

Chairman Robert Stephan called the scheduled meeting of the Alton Amphitheater Commission to order at 4:35pm. Members met by conference call due to the COVID-19 pandemic.

Members Present: Robert Stephan, Karen Baker-Brncic, Jay Hollinger, Brett Stawar, and Dan Herkert

Members Absent: Michelle Brooks

Ex-Officio & Guests: Kirby Ontis – City Comptroller, Cameo Foster – City Treasurer, and Lisa Brown (YWCA of Alton)

Approval of Minutes

Karen Baker-Brncic moved to approve the minutes Commission’s meeting on May 13, 2020. Motion seconded by Dan Herkert. Motion carried 5-0.

Financial Reports/Bills

Treasurer Dan Herkert presented an updated Treasurer’s Report for the months of March, April, and May. The current balance in the Amphitheater account as of June 15, 2020 was $69,515.61. Brett Stawar moved to place the Treasurer’s Report on file, seconded by Karen Baker-Brncic. Motion carried 6-0.

Dan Herkert presented an invoice for Evntiv for $33,575 for production and talent fees. Brett Stawar moved to approve payment of the invoice, seconded by Karen Baker-Brncic. Motion carried 6-0.

Event Approval/Cancellation

Chairman Stephan presented a request from the Alton High School Graduation organization to hold their After-Grad giveaway at the amphitheater. Karen Baker Brncic moved to approve the request with no fee pending confirmation of the date by Chairman Stephan and pending agreement from the organization to pay all costs incurred and follow mandated social distancing guidelines. Motion seconded by Brett

Stawar. Motion carried 5-0.

Chairman Stephan presented a request from Riverbend Yoga to use the amphitheater for outdoor yoga classes. Karen Baker-Brncic moved to approve the request with no fee as long as Riverbend Yoga did not want exclusive rights to the venue for classes. Motion seconded by Jay Hollinger. Motion carried 5-0.

Chairman Stephan presented a request from DK Dance Studio for an outdoor recital in July. Brett Stawar moved to approve the request with a $250 rental fee and pending confirmation of the date by Chairman Stephan. Motion seconded by Karen Baker-Brncic. Motion carried 5-0.

Cameo Foster and Lisa Brown presented a request to reserve the amphitheater as a back-up venue for the YWCA of Alton’s 30th Annual Women of Distinction Awards on September 17, 2020 from 5-9pm. Event will have 150-300 attendees. Karen Baker-Brncic moved to approve a hold and first right of refusal for the event with a fee of $250 payable if the event is scheduled. The YWCA will also pay additional fees for other services as negotiated. All costs associated with the event are the responsibility of the YWCA of Alton. Motion seconded by Brett Stawar. Motion carried 5-0.

Chairman Stephan presented a request for a gospel series to be held at the amphitheater on August 30, September 6, and September 13. Brett Stawar moved to layover the request until the Commission’s July meeting, seconded by Dan Herkert. Motion carried 5-0.

Brett Stawar moved to adjourn the meeting at 5:30pm, seconded by Jay Hollinger. Motion carried 5-0.
