City of Alton Municipal Band met June 11.

The meeting was called to order at 6:34 pm

Members present: Julie McPike, Melissa Bock, David Drillinger, Larry Ashlock, Kasey Oglesby Members absent: Anne Hand, Deb Kelley, Linda Fergurson, Mike Fergurson Ex-Officio Member present: Martha Roberts

Minutes from March, 2020

Kasey moved to approve, Larry seconded 5 Yes 0 Nay Passed

Financial

The full budget is still available. Adjustments in this budget may have to be made as the City’s budget becomes clearer

The Special Fund sits at between $8-9000

David moved to approve June payments. Kasey seconded 5 Yes 0 Nay Passed

Information Items:

—Julie provided copies of the Governor’s Phase III guidelines

—Currently no park activities are available. Hopefully Phase IV will open the parks more. —No information is available regarding use of the Amphitheater. This would be a good venue for a concert for Social Distancing purposes, both for the band and the audience.

Larry will remain in contact with the Amphitheater committee, and indicate our interest. —Rehearsal space may or may not be available at any time this summer. LCCC campus remains closed.

—The Alumni Concert has been cancelled

—The July 3, 2020 concert at the Amphitheater has been cancelled

—The Grand Finale Concert at LCCC is questionable. Julie has talked to Louis Michael about the possibility of streaming a concert from campus. David pointed out that to use the full band Hatheway Hall stage would not be large enough. We would need the Gallery or the Commons in order to spread the band according to current musical ensemble social distancing. —It was agreed JoJo, the Clown should be a part of any performances, small ensemble or full band. She can assist in social distancing issues around the musicians and with the audience, as well as her usual “face of the band” activities.

—The Band is still in need of a Sound Person

—Melissa has Restaurant Week glasses to give away.

Discussion/Action Items:

—Due to the unusual circumstances of the season it was proposed that pay for musicians be changed to $75 per service. There would be no rehearsal pay as that will most likely be on the musicians’ own time. A maximum of one performance per week is the current plan, whether small ensemble or full group. Melissa moved, Kasey seconded 5 Yes 0 Nay Passed

—Small Ensembles

The Farmers’ Market has indicated a willingness to have small groups perform during their Saturday morning hours (8 am - 12 noon). David will check with the quintet to see if they are available to kick this activity off while the rest of the band is contacted to see what interest there is in organizing additional ensembles. David will coordinate the scheduling.

—David moved $1200 be approved to purchase brass and woodwind quintet music for the band members’ use for future ensembles. Melissa seconded

—The purchase of two popup canopies were proposed for use by the small ensembles. Julie has information and Kasey will look into the possibility of getting the band’s name and logos imprinted. Julie moved to purchase. David seconded 5 Yes 0 Nay Passes

—Dan Leonard has submitted a proposal to construct a new soloist stage for the Riverview Park gazebo. This new stage will be removable, to be stored between performances rather than left standing on the gazebo steps. David moved $2000 be approved for this work. Kasey seconded 5 Yes 0 Nay Passed

—Jen Shenberger submitted bills for vocal arrangements for $4000

Kasey moved to approve. Larry seconded 5 Yes 0 Nay Passed

—Kasey discussed purchasing wireless microphones for the band. It could simplify some of the onstage setup, mic cord, and mic stand issues. A set of two microphones with receiver can be purchased for about $550. The discussion was tabled for Kasey to do more research into the kind of mics necessary and other factors in their use.

—A storage building was discussed for the band’s chairs, risers, and other outdoor bulky items. Currently they are stored where they get wet and dirty and often come to concerts in less than ideal condition. $4000 is the suggested amount to be allotted. The discussion was tabled while more research is done regarding where to place this building, code requirements, etc.

—The performance at Chautauqua is still being negotiated. David is going to contact the quintet to see if they would be available/interested to perform there, on or near the original date (July 4). He will then contact Chautauqua to see what can be worked out with them, either for the smaller ensemble, or later in the summer.
