City of Edwardsville Recreation, Arts & Special Events Board met March 7

Here are the minutes provided by the board:

I. Meeting was called to order at 5:05 pm by Janet Haroian. The meeting was held in person at City Hall. Members in attendance at City Hall were Janet Haroian, Joshua Fark, Tony Green, Jeannette Mallon, Suzanne Weiss, Tanner Alexander, and Lauren Szakielo.

Parks staff in attendance at City Hall included Nate Tingley, Grace Pellock, Christol Heberer, Phil Zamora, and Amanda Prior-Alton. The Police Department was represented by Lt. Brandn Whittaker.

II. There were no Public Comments.

III. Minutes read from February meeting -

Tony Green motioned to approve the minutes as written, Jeanette Mallon seconded the motion. The minutes were approved as written with no opposition.

IV. Events and Facilities Requests: 

Fit Expo - The Pilates Barre Studio:

Grace Pellock presented the event application.

The Pilates Barre Studio will host the Fit Expo for the 2nd year now. The requested date is June 24, 2023. The event will be the same with a fitness class for people to participate in as well as fitness and health vendors. No street closure is needed.

Motion to approve (Mallon) Fit Expo, seconded (Szakeilo) and voted all ayes to forward to ACS.

Living History Days – Madison County Historical Society: 

Dr. Stephen Hansen presented the event application.

This event will take place on October 7-8, 2023 from 1:00pm-4:30pm each day. Madison County Historical Society (MCHS) will sponsor a vintage baseball game at Winston Brown Recreation Center using the adult softball field, concession stand, pavilion, and parking lot on October 7, 2023. The second event on October 8, 2023, will be a Chautauqua re-enactment at City Park. The Chautaugua will feature live music as well as historical figures such as, Abraham Lincoln, Frederick Douglas and Susan B.

Anthony. At both events, MCHS will sell refreshments and prepared food and snacks. No street closure needed.

Motion to approve (Weiss) contingent upon providing the Certificate of Insurance, seconded (Fark) and voted all ayes to forward to ACS.

Edwardsville Art Fair - Edwardsville Art Center:

Beth Browne presented the event application.

Beth Browne introduced herself as the new executive director of the Edwardsville Art Center. This will be the 9th Edwardsville Art Fair. The event will start on September 22, 2023 from 5:00pm-9:00pm, September 23, 2023 from 11:00am - 7:00pm, and end on September 24 from 11:00am - 3:00pm. The Art Fair will be the same as last year except for the VIP event being held the week prior at a separate venue. Set up will be very similar. Instead of the big tent there may be a few extra small tents. Street closure to include S. Kansas St. from the corner of Vandalia to E. Park. E. Park St. from the corner of S. Buchanan to S. Kansas St. from 5:00 am September 22, 2023 - 7:00 pm September 24, 2023. Lt. Whitaker spoke about the possible need for some crossing guards.

Motion to approve (Mallon) Edwardsville Art Fair, seconded (Szakielo) and voted all ayes to forward to ACS.

Land of Goshen Community Market – Goshen Market Foundation:

Grace Pellock presented the application.

The Goshen Market will start on May 13, 2023 and go through October 21, 2023 on every Saturday from 8:00am to 12:00pm. Street closure will be the same as previous years. The event will be the same without any changes.

Motion to approve (Mallon) Land of Goshen, seconded (Fark) and voted all ayes to forward to ACS.

V. Recreation Report 

Canee' Brown gave the Recreation Report.

a) Girls' basketball is going well.

b) Adult basketball is on Tuesdays and Thursdays. The spring adult league will start April 4, 2023.

c) Winter Corn Hole has ended. Competitive Corn Hole will begin on March 27, 2023.

d) Recreation currently have 230 girls registered for youth softball, 112 registered for Pee Wee T ball, 21 Sand Volleyball teams, 56 players registered for Flag Football, and 14 players registered for Youth Rugby.

e) The adult programs have 10 teams registered for Adult Kickball, 14 teams in Adult Softball, and 4 teams in Adult Corn Hole.

f) Registration for Adult Sand Volleyball opened on March 1, 2023.

VI. Program Report 

Grace Pellock gave the Program Report.

a) Daddy Daughter Dance was February 17-19, 2023 at the Wildey Theatre. The sold out event included goodie bags, crafts, photo booth, food, DJ, and dancing.

b) Babysitting Training will be April 1, 2023 at the R.P. Lumber Center. This will be a collaboration with the fire department.

c) Paws in the Park will take place April 8, 2023 at City Park. This is a dog Easter egg hunt.

There will be goodie bags for the dogs, vendors and prizes.

d) Summer Kickoff will be May 31, 2023 at City Park.

Special Events/Other events to mention include:

Starting to plan for the Route 66 Festival (June 10, 2023) and Arts in the Park.

VII. RP Lumber Center Report 

Phil Zamora gave the R.P. Lumber Center Report.

a) Learn to Skate currently has 188 participants. New Session (session 4) began February 22, 2023. 

b) The RPLC is at the beginning stages of starting a skating club with current skaters/parents.

c) Shine On Ice begins April 1, 2023. This is a Learn to Skate Program for children with special needs. We are currently have 19 participants registered.

d) The Spring League begins April 1, 2023 with 400 participants.

e) The RP Lumber Center currently have 2 new trainers conducting private and group lessons.

VIII. Wildey Theatre Report 

Amanda Prior-Alton gave the Wildey Theatre Report.

a) Amada made her introduction since this was her first time being at the RASE board meeting.

b) Many concerts including: Nektar, Jim Messina, Artimus Pyle & Martin Barre, and Ana Popovich. There also a good variety of tribute bands.

c) Bridal Shower and Graduation season is in full swing.

d) Staff turnover is low. Currently looking for a new production assistant.

e) The door access project is complete.

f) Completed renovations include ticket booth and exterior trim painting.

g) Working on cross promotional advertising between parks venues. These include, Wildey banner placed at Plummer Family Park, video advertising for the RP Lumber Center and Recreation Sports on lobby screens and during movie previews.

h) Upcoming projects include: new carpet, refinishing the floor in the theatre, hvac upgrade, and bar signage.

IX. Directors Report 

Nate Tingley gave the Directors Report.

a) Seasonal laborer jobs have been posted.

b) Clean up has begun for the large tree that fell at City Park on March 3, 2023. 

c) Plummer Family Park hosted the Fontbonne Showcase February 25-26, 2023.

d) Plummer Family Park also hosted Washington University Ultimate Frisbee Tournament on March 4-5, 2023.

e) St. Louis Youth Soccer Association was also out at Plummer Family Park February 25-26, 2023.

f) On March 4, 2023, the City of Edwardsville collaborated with the YMCA to hold a Water Safety Day. This was a free event to the public to increase awareness for water safety.

g) Kim Bosco, an employee from the RP Lumber Center was given the Employee Excellence Award.

h) There were some prescribed burns at Watershed, Glik Park, and Leon Corlew Park.

i) YMCA soccer began March 4, 2023.

X. Open Floor
