The Alton Amphitheater Commission Meeting was called to order by Chairman Robert Stephan October 15, 2018 at 4:32 p.m.
Members Present: Robert Stephan, Dan Herkert, Ruth Birmingham, Karen Baker-Brncic, Brett Stawar
Members Absent: Michelle Brooks, Jay Hollinger
Ex-Officio & Guests: Debbie from SSP
Cameo Foster will no longer provide the Financial Report however, she is allowing Robert Stephan to access the information.
Motion made by Dan Herkert to approve the minutes of the September 10, 2018 meeting, seconded by Ruth Birmingham. Motion carried.
Motion made by Robert Stephan to approve miscellaneous bills to reimburse, in the future they must be paid out of petty cash, seconded by Karen Baker-Brnic. Motion carried.
Motion made by Robert Stephan to pay Feed the Need their portion of Metrotix. Robert will give Kirby the amount, seconded by Dan Herkert, Motion carried.
Motion made by Robert Stephan to pay $3,618.46 to the volunteers. Ruth Birmingham to provide the information to Kirby to payout, seconded by Karen Baker-Brnic, Motion carried.
Motion made by Robert Stephan to pay all advertising and banner expenses in the amount of $18,783.09 to the CVB, seconded by Ruth Birmingham, Motion carried.
Motion made by Ruth Birmingham to approve reimbursement to Michael Haynes out of petty cash $12.66 for hot dog buns from the Feed the Need Concert, seconded by Dan Herkert, Motion carried.
Motion made by Dan Herkert to have Sam Foxman of Evntiv to send a contract to approve at the next meeting seconded by Ruth. Birmingham, Motion carried.
Motion made by Robert Stephan to place a first hold for Feed the Need on 9/28/19, Debbie from SSP must provide a list, seconded by Dan Herkert, Motion carried.
Motion made by Dan Herkert to change the date for Relay for Life. Brett Stawar will discuss with them, seconded by Karen Baker-Brnic, Motion carried.
Motion made by Dan Herkert to approve the date 6/1/19 for Tour De Cure, seconded by Karen Baker-Brnic, Motion carried.
Motion made by Robert Stephan to allow Park & Rec to take over wedding requests from the CVB, all requests must have approval from the Amphitheater Commission, seconded by Brett Stawar, Motion carried.
Motion made by Ruth Birmingham to hold a special meeting on 10/29/18 to review RFP’s for Amphitheater Naming Rights, seconded by Brett Stawar, Motion carried.
Motion made by Karen Baker-Brnic to publish the requests for Naming Rights no later than 11/2/18 and will be due in the Comptroller’s office no later than 11/16/18 by 5:00 PM, open to public discussion in the meeting of 11/19/18, seconded by Dan Herkert, Motion carried.
With no further business remaining, motion was made by Robert Stephan, seconded by Karen Baker-Brncic to adjourn. Motion carried.
