Alton Amphitheater Commission met September 10. 

Here is the minutes as provided by the commission:

The Alton Amphitheater Commission Meeting was called to order by Chairman Robert Stephan September 10, 2018 at 4:30 p.m.


Members Present: Robert Stephan, Dan Herkert, Michelle Brooks, Ruth Birmingham, Karen Baker-Brncic

Members Absent: Brett Stawar, Jay Hollinger

Ex-Officio & Guests: Kirby Ontis, Michael Haynes

There was no Financial Report provided. It was noted that we have not received a financial report for the meeting for at least three (3) months.

Motion to approve the minutes of the August 20, 2018 Meeting made by Karen Baker-Brncic, seconded by Michelle Brooks. Motion carried.

Motion made by Dan Herkert, seconded by Ruth Birmingham to pay Evntiv invoices in the amount of $28,675.00 and $9,141.25. Motion carried.

Motion made by Dan Herkert, seconded by Ruth Birmingham to pay all outstanding invoices for all 2018 events. Motion carried. Kirby Ontis will send specifics for Commission approval.

Discussion was held regarding Promoter contract for 2019. All agree that we want to have a new contract in place to start in November 2018. Discussion was held regarding what functions will be included in contract and what items can be handled by Commissioners.

Discussion was held regarding Amphitheater Naming rights. Motion was made by Dan Herkert, seconded by Ruth Birmingham to put out an RFP. Motion carried.

Motion was made by Ruth. Birmingham, seconded by Michelle Brooks to approve Kelsey Remiszewski wedding October 12, 2019 at 3:00 P.M. Motion carried.

Motion was made to layover requests for Relay for Life and Tour de Cure by Ruth Birmingham, seconded by Dan Herkert. Motion carried.

Lengthy discussion was held regarding the upcoming Expo. We will need a minimum of two (2) Commissioners on-site for the hours the event is open. Ruth Birmingham provided a schedule and several Commissioners signed-up to work. Everyone agreed that we will all be present at other times if possible. Karen Baker-Brncic will handle arrangements for ice delivery. Michael Haynes will locate the lights for the tents, and work with us on set-up, clean up, etc. Kirby Ontis will request petty cash and Michael Haynes will handle transport. Dan Herkert will oversee counting of the cash at the end of the day, with one other Commissioner present.

With no further business remaining, motion was made by Dan Herkert, seconded by Karen Baker-Brncic to adjourn. Motion carried.
